A comprehensive solution in SharePoint for all case and document management

Mattias Blomstrand, IT project manager at the Swedish Energy Agency, calls it a paradigm shift. “We have gone from file shares to a true document and case management system in SharePoint,” he explains. “The plan is for the entire flow to be digital a year from now.”

The project began nearly five years ago. “The main purpose was to integrate our document management with our case management,” says Mattias Blomstrand. “We saw that this could be done with SharePoint. We've also added a number of special functions as the project progressed.“We're moving towards using SharePoint in all other documents as well, even internally, so as to achieve a comprehensive solution for all document management.” 

Less training and better search capabilities

The system has approximately 400 users and the solution provides the Swedish Energy Agency with several benefits and dividends.“We now have a common and general training program for all document management. If a user can handle one type of document, he or she can handle them all,” says Mattias Blomstrand.“We also have better search capabilities. Through a central search engine, you can easily find all types of documents. I also see a major benefit with SharePoint in that we do not build from scratch but rather with Lego blocks.”

Satisfied with Precio Fishbone

Mattias notes that the project has gone smoothly.“We're very satisfied with Precio Fishbone. The challenge for a supplier in a project of this type involves both having thorough knowledge of SharePoint and properly understanding our operations. It's been a long journey, five years before full implementation, but this really isn't so strange when you consider that we made a paradigm shift and have gone from files shares to true document management.”

From requirements to function

Krister Ranta, project manager at Precio Fishbone, also feels the project has gone well.“The Swedish Energy Agency is a very good client,” he says. “They are very future oriented and very creative.“The biggest challenge when construction of the system began in 2011 was to transform their extensive specifications and wishes into actual functions. When it's time to put it all into program code, everything must be crystal clear.”
